Administrative Assistant - Family Planning

Department: Family Planning
Location: Buffalo, NY

**Job Summary:**
The Community Health Center of Buffalo is seeking an Administrative Assistant to provide administrative support to the Chief Medical Officer, Director of Family Planning, and other administrative staff of the Family Planning Department. This role requires the ability to work independently and perform various general clerical and project-based tasks. The position involves projecting a professional company image through in-person and phone interactions and appearance.

**Responsibilities:**
- Incorporate the core values and mission of the organization.
- Maintain confidentiality in all administrative aspects.
- Create or modify documents such as reports, invoices, memos, or letters as directed by superiors.
- Perform general clerical duties including photocopying, faxing, mailings, and filing.
- Maintain proficiency in computer applications like EMR (EcW), MS Outlook, MS Word, Excel, Power Point, and Microsoft Teams.
- Answer telephones and transfer calls to appropriate staff.
- Receive and distribute delivered packages.
- Prepare outgoing mail, email, and faxes, as well as maintain related records.
- Manage calendars for meeting space and coordinate meetings and conferences.
- Work closely with the management team to prepare materials for meetings.
- Provide clerical support to management as directed.
- Schedule and plan meetings and conferences, including preparing materials and making special arrangements.
- Welcome visitors and announce them to appropriate personnel.
- Order and maintain supplies, as well as arrange equipment maintenance.
- Manage inventory levels of office supplies and equipment.
- Orient and train new employees, create training lists, and submit completion reports to HR.
- Assist with generating reports, including EMR software reports on a regular basis.
- Adhere to established policies, procedures, objectives, quality assurance programs, safety, and compliance standards.
- Work in stressful conditions.
- Perform other relevant duties as assigned.

**Physical Demands:**
The role requires periods of sitting, standing, walking, bending, and stooping. Significant job stress may be associated with the position, and evening work may be required.

**Minimum Qualifications:**
- High School diploma or equivalent.
- Minimum of one (1) year of office administrative experience.

**Preferred Qualifications:**
- Associate degree.
- Minimum of one (1) year of office administrative experience.
- Experience in Family Planning is preferred.
- Experience working in an office setting is strongly preferred.

**Salary Status:**
Non-Exempt $17/hr. - $21/hr. based on qualifications
